We are growing and we are looking for a Client Relationship Specialist to join our team. This position plays a central role in delivering a thoughtful, responsive, and high-quality client experience. This individual serves as a trusted point of contact for clients, ensuring requests are handled with care, accuracy, and timeliness while supporting advisors and the broader team.
What You’ll Do
Serve as a primary day-to-day contact for clients, providing services and building trust through responsiveness and follow-through.
- Support client onboarding with a smooth and well-organized experience
- Prepare and process account paperwork for new and existing clients
- Execute distributions, transfers, journals, and account updates accurately and efficiently
- Implement investment and account changes across systems
- Maintain accurate client records across multiple platforms
- Handle complex situations such as estate administration, lending, and account transitions
Provide operational support to Financial Advisors, coordinating on RMDs, cash needs, and account issues.
Initiate process workshops and coordinate technology platforms to improve operational efficiency.
You’ll Be a Great Fit if You Have
- At least five years of experience in a similar administrative or operations role in financial services, with wealth management experience a plus
- Have a Bachelor’s degree that helped you hone your ability to learn quickly, build strong communication skills, and test your attention to detail
- Experience managing projects and multiple initiatives simultaneously
- Experience as the primary administrative lead for a group of financial advisors
- The ability to take your work seriously, but don’t take yourself too seriously
- The ability to learn quickly and to see systems and problems earlier and more easily than most
- An intellectual curiosity to keep learning and doing more
- Been consistently complimented on your customer service
- Deep relationships with people in your life that translate to knowing how to build deep relationships with clients
- The ability to constantly think a step ahead of what the client may need
- A process orientation with the ability to build efficiency and effectiveness into everything you do

This is an on-site, in-office role in Portland, Maine. The schedule is Monday-Friday, with general office hours of 8-4 pm.
